Fi Close Agent
The Fi Close agent runs your month-end close. Fi finds the work for the month, prepares each fix with its evidence, and makes the change once you or your accountant approve it. Fi then checks the result, so each task closes only when the problem is gone.
Before You Begin
- The Fi Close agent is live with selected accounting firm partners. If your accountant works with one of them, they can switch it on for your company.
- Connect your bank accounts, so Fi can check every account up to the end of the month. See Banking.
- Set up your tax registrations and classify your tax rates. Fi proposes tax rates only from the rates you hold. See Tax Management.
- To approve changes, you need Fiskl permissions that allow each change. Fi never makes a change that the person approving it could not make in the app.
How Fi Close Works
Each month, Fi works through the same five steps for your company:
- Find — Fi runs its checks on the month and turns each problem into a task.
- Prepare — For each task, Fi prepares a proposal: the exact entry Fiskl will record, the reason, and the evidence behind it.
- Approve — You or your accountant approve, edit, or reject each proposal.
- Make the change — Fiskl records the approved change through the same accounting engine as a change you make yourself.
- Check — Fi runs the check again. The task is done only if it now passes.
Fi orders the tasks by their effect on the month's figures, and by what each task depends on. A task that depends on another waits until the first one is done. The close moves forward on its own as you approve, reject, or add evidence.
Start a Close
A close covers one month for one company. Start it in either of two ways:
- Ask Fi. In your company, ask Fi, for example: "Prepare this company's close for September."
- Set a schedule. Fi starts the close for you after each month ends. See Fi Close Settings.
Each company has one close per month. Starting it again picks up where it left off. Running a check again never creates a second task for the same records.
Fi first confirms that each bank feed has delivered transactions up to the end of the month. If a feed is behind, that account becomes a blocked task and Fi carries on with everything else.
What Fi Checks
Fi runs these checks every month. For some, Fi prepares a change for you to approve. For others, Fi lists what it found in the close package and changes nothing.
| Check | What Fi looks for | What Fi does |
|---|---|---|
| Bank feed completeness | Accounts whose feed has not delivered transactions up to the end of the month | Asks the business owner to reconnect the feed or import a file |
| Bank reconciliation | Bank lines left unmatched, and any difference between bank and ledger balances | Proposes matches to existing entries |
| Uncategorised transactions | Transactions the AI categorisation left uncategorised or at low confidence | Proposes the ledger account and tax rate |
| Transfers between your accounts | Money moved between your own accounts, including across currencies, recorded as income or expense | Proposes recording it as a transfer |
| Client payments | Payments received while the invoice is still open | Proposes recording the payment against the invoice |
| Asset purchases | Purchases that look like fixed assets but have no asset record | Proposes registering the asset and its depreciation plan |
| Vendor bills | Vendor payments with no bill, and expected recurring bills that are missing | Asks you for the bill, then proposes recording it |
| Tax coding | Taxable lines with no tax rate, and rates that do not fit your tax registrations | Proposes the right tax rate |
| Invoices | Draft invoices for the month, and overdue receivables | Lists them in the close package |
| Possible duplicates | Transactions that look like duplicates | Lists them with the evidence |
| Expected adjustments | Accruals, prepayments, and exchange rate revaluations the month needs | Proposes each adjustment entry, with the reason |
| Books check and trial balance | Fiskl's books check and the trial balance for the month | Runs at the end of every pass to confirm the result |
Fi proposes changes only through Fiskl's accounting engine, so amounts, tax, and currency conversion are always calculated by Fiskl. Fi decides what to propose and explains why.
Review and Approve Proposals
Proposals appear in your company's approval list. The list opens beside the page you are working on, and Fiskl shows how many close tasks are waiting for you.
Each proposal shows:
- A preview of the change as Fiskl will record it: ledger accounts, amounts, currency, tax rate, date, and the records affected
- The reason for the change, in plain language, and any assumption Fi made
- The strongest evidence it relies on, such as a bank line, invoice, or bill, with links to open it
- How many values need checking, with the reason for each value Fi set
To act on a proposal:
- Open the proposal from the approval list.
- Review the preview and the evidence. Select a piece of evidence to open it in the side panel.
- Select one of these:
- Approve — Fiskl makes the change.
- Edit — Change the proposal, then approve it. Fiskl checks your edit before it makes the change.
- Reject — Enter a reason. Fi prepares an alternative, or marks the task for you to handle yourself.
You approve each proposal on its own. If both you and your accountant can approve, the first approval makes the change and closes the proposal for the other person.
If your permissions do not allow a change, Approve appears greyed out with a lock. Hover over it to see the reason.
You can also mark a proposal as useful or not useful and add a comment. Fiskl uses this feedback to improve Fi Close.
When Fi Needs Something From You
Fi never guesses a ledger account, a tax rate, a document, or a materiality threshold. When one is missing, Fi asks and the task waits. For example, Fi asks for a vendor bill before it proposes recording it.
Fi offers suggested answers, or you can type an instruction. Your answer is saved on the task as evidence, and the close continues.
Task Statuses
| Status | What it means |
|---|---|
| In progress | Fi is preparing, making, or checking the change |
| Awaiting approval | A proposal is ready for you or your accountant |
| Waiting | Fi needs something from you, such as a bill, or another task must finish first |
| Blocked | The task cannot go ahead. The task shows the reason and what would unblock it |
| Done | The change was made and the check passed again |
Some findings need no change, for example when Fi confirms that two similar payments are genuinely separate. Fi closes these with the reason and lists them in the close package.
If the records behind a proposal change before you approve it, Fi withdraws the proposal and prepares a new one. If a check still fails after a change, the task reopens with the new result.
The Close Package
The close package is the summary of your close for the month. It opens with a short summary from Fi, which says whether the month is ready to close and what is blocking it. It then shows how many tasks are done, waiting on a person, and blocked.
The close package also includes:
- The status of the close: In progress, Waiting for approval, Blocked, or Ready to close
- Every check, with whether it passed or failed
- Every change made, with who approved it and when
- Blocked tasks, with the reason and what would unblock them
- Your bank balance against your ledger balance at the end of the month, for each bank account
Each pass of the close produces a new version of the close package, and earlier versions are kept. You can export it as PDF or Excel for your accountant's working papers, with each approval and its name and time. Past closes stay available with their outcome.
Approvers receive an email when proposals are waiting, and when a pass of the close completes.
When every task is done and the final checks pass, the status changes to Ready to close. Fi then proposes locking the month, for approval like any other change. See Locked Period.
Reverse a Change
To undo a change Fi made, ask Fi to reverse it. The reversal is a new proposal, approved like any other. The original change and the reason stay in the audit trail, and nothing is deleted.
Every record Fi changes shows that Fi changed it, who approved it, and a link to the task. Every decision, proposal, approval, rejection, and change is also in the Audit Log. See Audit Log.
Fi Close Settings
Each company has its own settings for Fi Close:
- Agent on or off — Switch Fi Close on or off for this company
- Schedule — When Fi starts each month's close
- Approvers — Who can approve proposals
- Materiality threshold — The amount Fi uses to order findings and mark which are material. Findings below it are still listed. With no threshold set, Fi treats every finding the same.
- Notifications — Which emails approvers receive
You can pause Fi Close at any time. Pausing stops new proposals and changes immediately. When you resume, Fi continues from where it stopped.
For Accountants
The Fi Close agent runs inside each client's own Fiskl company. You start, approve, pause, and resume it from within that company, not from Fiskl Atlas. You approve only what your permissions for that client allow, and each client's close runs on its own schedule.
Set a schedule for each client company. Fi then prepares every client's close after the month ends, ready for you to review at the start of your working day.
What Fi Close Does Not Do
- It does not delete records.
- It does not write into a locked or filed period. A task that needs to is marked Blocked, with the reason.
- It does not file tax returns or move money.
- It does not send anything to your clients or vendors.
- It does not consolidate several companies.
Common Issues
A bank account shows as blocked at the start of the close
The bank feed has not delivered transactions up to the end of the month. Reconnect the feed, or import the missing transactions from a file. Fi picks up the new transactions and continues. See Reconnecting and Duplicate Accounts.
Approve is greyed out on a proposal
Your Fiskl permissions do not allow that change. Hover over the lock to see the reason. Ask the business owner, or your accountant, to approve it, or ask an administrator to update your permissions.
A task is blocked because the period is locked
The change would fall in a locked or filed period, and Fi never writes into one. If the change is genuinely needed, unlock the month first, then ask Fi to continue. See Locked Period.
A proposal disappeared before I approved it
The records behind it changed, for example a new bank transaction arrived or someone edited an entry. Fi withdrew the proposal and prepared a new one with the latest records.
A task reopened after I approved it
Fi ran the check again after the change, and it still failed. The task reopens with the new result, so you can see what is left to fix.
Fi says Fi Close is not available for my company
The Fi Close agent is live with selected accounting firm partners. Ask your accountant whether they can switch it on for you. In the meantime, ask Fi to review the month before you lock it. See Review a Period Before You Close It.
