Quote Management

This page explains how to manage quotes in Fiskl after you have created them — from editing and sending to converting to an invoice or cancelling.

Quote Preview

When you select a quote, a preview screen opens. The left side shows how your client will see the quote. The right side shows your management options. Use this view to review the quote before taking any action.

Draft Quotes

A draft quote is not yet visible to your client. While a quote is in draft status, you can:

  • Edit all quote details
  • Configure email delivery settings
  • Add or remove attachments
  • Change the associated brand

Draft quotes do not have a share link available. Your client cannot view the quote until you send it.

Sent Quotes

Once you send a quote, Fiskl marks it as Sent and makes it visible to your client. You have two ways to send a quote:

  • Generate Share Link — marks the quote as Sent and gives you a link to share via your preferred channel, such as a messaging app or email.
  • Send by email — sends the quote directly to your client and marks it as Sent automatically.

After sending, you can view the quote history, manage emails, and add or remove attachments.

Editing a Quote

You can only edit a quote directly when it is in Draft status. To edit a sent quote, you need to revert it to draft first. Status options are available once the quote has been saved.

  1. Open the quote from your quote list
  2. Select the current status
  3. Select Draft from the dropdown
  4. Make your changes
  5. Select Save
warning

While a quote is in draft mode, any previously shared links will not work. The link becomes active again once the quote is back in Sent status.

Converting a Quote to an Invoice

When a client accepts your quote, you can convert it to an invoice.

  1. Open the accepted quote
  2. Select More
  3. Select Convert to Invoice

Fiskl creates a new invoice pre-filled with the quote details. You can review and edit the invoice before sending it to your client.

Cancelling a Quote

When you need to cancel a quote, consider your records and any requirements in your region. Fiskl gives you three options.

Marking a quote as Rejected is the best practice for cancellations. It preserves your records without permanently removing the quote.

  1. Open the quote from your quote list
  2. Select the current status
  3. Select Rejected from the dropdown

This keeps a record of the quote, maintains your quote history, and does not create gaps in your numbering sequence.

Option 2: Revert to Draft

If you need to make changes before deciding what to do with the quote, revert it to draft status.

  1. Open the quote from your quote list
  2. Select the current status
  3. Select Draft from the dropdown

This allows you to edit the quote details before resending or cancelling.

Option 3: Delete the Quote

As a last resort, you can delete the quote permanently.

  1. Locate the quote in your quote list
  2. Select the dropdown options on the right
  3. Select Delete
warning

Deleting a quote permanently removes it from your records. This action cannot be undone.

Changing Quote Status

You can change the status of one or more quotes directly from the quote list without opening each one individually.

  1. Select one or more quotes from the list
  2. Select Status
  3. Select the new status from the dropdown

Additional Actions

From the quote list, you can download a PDF, generate a share link, duplicate, or delete quotes. Duplication is useful when you need to create a similar quote for another client. Deletion is only available from the quote list view.

Best Practices

Regularly review your open quotes so nothing is left waiting for a response. Before saving any changes to a sent quote, double-check all details to avoid sending incorrect information to your client.

tip

Always consult your accountant or local tax authority about the correct way to handle cancelled quotes in your region.

Common Issues

My shared quote link is not working

If a client reports that your shared link is not working, the quote may have been reverted to draft status. While in draft, share links are disabled. To restore the link, set the quote back to Sent status.

I cannot edit my sent quote

You can only edit a quote directly in Draft status. To edit a sent quote, open it, select the current status, and select Draft. Make your changes and save. Then set it back to Sent to restore the share link.
