Working the Queue

This guide is the morning routine. In ten minutes you can see where your clients need you, draft a note to each of them, and send the notes you are happy with.

Before You Begin​

  • You need the Action advisory items permission to draft and send
  • Your clients must be fully connected. See Advisory Overview

Step 1: Read the Tiles​

Open Client Management > Clients and switch to the Advisory view. Five tiles sit above the list. Each counts clients, not items, and each one filters the list when you select it.

Start with Compliance. A missed filing costs the client money; everything else can wait a day.

Step 2: Switch to the Queue​

To the right of the filter row, select Queue. Atlas opens in Queue mode whenever any client needs attention, and remembers your choice.

The Queue groups the day's work by bucket: Compliance first, then Cash & collections, then Opportunities, and Books hygiene last. Each client appears once per bucket as a card listing their items in that bucket, with the deadline or amount beside each.

Books hygiene is your firm's housekeeping, so it has no drafting action. Deal with it in the attention panel or in the client's Fiskl account.

Step 3: Draft the Bucket​

Each bucket heading has a Draft N notes button, where N is the number of clients in it.

  1. Select Draft N notes on the bucket you want to clear
  2. Select a Purpose: Reminder, Heads-up, Advice or Book a call. The purpose shapes the note more than any other setting
  3. In Anything to add?, give one steer for the whole round if you want to
  4. Clear the checkbox next to any client you want to leave out
  5. Select Draft N notes

A bar appears at the bottom of the list and drafts one client at a time: "Drafting 2 of 5 Β· Match One". Select Cancel to stop after the client in progress. A client that cannot be drafted, for example because the firm's daily AI limit is reached, is listed in the bar and the rest carry on.

Each draft uses only that client's own figures, formatted as you see them on screen. See Advisory Notes for what the AI is given.

Step 4: Review Each Draft​

When drafting finishes, the bar becomes a review queue: "Review 1 of 5 · Lumière Tech PP5".

  1. Select Open. The client's attention panel opens on the Compose tab with the draft loaded
  2. Read the message as the client will. Figures that match the facts are marked green. A figure marked amber matches nothing you were shown, and must be edited or confirmed before you can send
  3. Edit the subject or message if you want to. Select Save draft to keep the changes
  4. Select Copy or Open in mail, send the email from your own address, then select Mark as sent

Marking the note as sent moves the client to Contacted and opens the next draft in the queue. Select Next to skip a client and come back later, or Done to close the bar. Drafts you did not send stay under the client's Draft ready status and in the Your drafts tile.

Review the bucket in one sitting. Five reminders about the same quarter-end read consistently when you send them together, and the Contacted status then tells the whole team the round is done.

Step 5: Check What Is Left​

Switch to the Needs action tab. What remains is either a client you skipped or a bucket you have not drafted yet. The Contacted tab shows who has been written to in the last 14 days, and Snoozed shows what is parked.

Use the preset pills under the filter row for a narrower sweep:

  • Overdue filings and Due in 14 days
  • Receivables over 60 days
  • Feeds broken or stale
  • Runway under 3 months, with a note of how many clients have had their books checked
  • Not contacted in 90 days, a relationship check for clients you have not written to in a while

Common Issues​

The bucket has no Draft N notes button

Books hygiene never has one, because feed and books-check items are your firm's work rather than something to send the client. For the other buckets, you need the Action advisory items permission. Hover over the greyed-out button to see the reason.

Some clients in the round were not drafted

The review bar lists them. The usual cause is the firm's daily AI limit, shown in the draft dialog and set under Settings > Advisory. Core being unavailable for a few minutes has the same effect. Run the bucket again tomorrow, or draft those clients one at a time from their attention panel.

Mark as sent is greyed out

The message still contains a figure marked amber. Either edit it to a figure from the facts shown, or select Confirm on the chip under the message once you have checked it against the client's books.
