Managing Your Catalog
This guide explains how to view, search, edit, and delete items in your products and services catalog.
Before You Begin​
- You need at least one product or service in your catalog. See Creating Products or Managing Services to add items.
Viewing Your Catalog​
Go to Products & Services in the left sidebar to open your catalog. All items appear in a list showing:
- Name
- Type
- Price/Rate
- Currency
- Account
- Sales Tax
- Unit
- Last updated
Sort the list by selecting the arrows next to any column header.
Select the Filter icon to filter the list by:
- Type — Product or Service
- Currency — select one or more currencies
Select Reset to return to the full catalog.
Searching Your Catalog​
Select the Search icon and enter keywords to find items by name or description.
Editing Products and Services​
- Go to Products & Services
- Select the item you want to edit
- Update any of the following fields:
- Name
- Dynamic Name Template
- Price/Rate
- Currency
- Account
- Sales Tax
- Description
- Add or remove attachments if needed
- Select Save
Edits apply to future use only. Existing invoices that already include the item are not affected.
Deleting Products and Services​
- Go to Products & Services
- Select the checkbox next to the item you want to delete
- Select the red Delete button at the top of the list
- Confirm the deletion
Existing invoices that include the deleted item remain intact. Financial reports continue to show historical data from the item. The item is permanently removed from your catalog and cannot be added to new invoices.
Deletion is permanent and cannot be undone. If you may need the item again, consider keeping it and using search to locate your active offerings instead.
Common Issues​
I deleted an item but it still appears on an existing invoice
This is expected behaviour. Deleting an item removes it from your catalog but does not change any invoices already created with that item. Your historical records remain intact.
I edited an item but the price on an existing invoice didn't update
Edits to catalog items only apply to future invoices. Existing invoices keep the details that were in place when they were created. To update pricing on an existing invoice, open the invoice directly and edit the line item there.
I can't find an item in the catalog
Select the Filter icon and check whether a Type or Currency filter is active. Select Reset to clear all filters and return to the full catalog, then use the Search icon to locate the item by name or description.
A catalog item is adding the wrong tax to invoices
Open the item and check the Sales Tax field. If the wrong tax rate is assigned, update it and select Save. The corrected rate applies to new invoices. Existing invoices are not affected and must be updated manually.
Ask Fi​
If you're unsure which account to assign to a product or service, or need help setting up your catalog, ask Fi. Select the Fi icon from any page and describe what you need.
