Dashboard Quick Actions

This guide explains how to use Quick Actions to perform common tasks quickly from anywhere in Fiskl without navigating through multiple menus.

What Are Quick Actions​

Quick Actions provide one-click shortcuts to your most frequent tasks. Instead of navigating to a specific section and selecting multiple buttons, you can open the relevant form immediately from the top-right corner of any page.

Quick Actions save time by:

  • Eliminating navigation steps
  • Providing consistent access across all pages
  • Opening forms in convenient modals
  • Remembering your last-used settings

Accessing Quick Actions​

The Quick Actions button appears in the top-right corner of every page:

To open Quick Actions:

  1. Look for the + Quick Actions button (or just + icon on mobile)
  2. Select the button
  3. A dropdown menu appears with available actions
  4. Select the action you want to perform

The menu stays open until you select an action or click outside it.

Available Actions​

The actions you see depend on your user permissions:

For Full Account Access​

  • Create Invoice - Generate a new invoice for a client
  • Record Expense - Log a business expense
  • Log Time - Track billable or non-billable hours
  • Add Mileage - Record business mileage for reimbursement
  • Create Multi-Journal Entry - Record complex accounting transactions
  • Add Client - Create a new client record
  • Add Vendor - Create a new vendor record
  • Add Product/Service - Add an item to your catalog

For Billing & Invoicing Access​

  • Create Invoice
  • Log Time
  • Add Mileage
  • Add Client

For Limited Access​

  • Log Time
  • Add Mileage

If you don't see an action you need, you may not have the required permission. Contact your account administrator to request access.

Using Quick Actions​

Creating an Invoice​

Steps:

  1. Select + Quick Actions
  2. Select Create Invoice
  3. The invoice creation form opens in a modal or new page
  4. Complete the invoice details:
    • Select a client
    • Add line items
    • Review calculated totals
  5. Select Save or Save & Send

The form remembers your preferences like default tax rates and payment terms.

Recording an Expense​

Steps:

  1. Select + Quick Actions
  2. Select Record Expense
  3. The expense form opens
  4. Complete the expense details:
    • Select vendor (or leave blank for one-time expenses)
    • Enter amount and currency
    • Choose category (ledger account)
    • Add receipt (optional but recommended)
    • Enter description
  5. Select Save

The expense appears in your Expenses list and updates your Dashboard metrics immediately.

Logging Time​

Steps:

  1. Select + Quick Actions
  2. Select Log Time
  3. The time entry form opens
  4. Complete the time details:
    • Select date (defaults to today)
    • Enter duration (hours and minutes)
    • Choose client (if billable)
    • Select service (what work was performed)
    • Add notes (optional but helpful)
  5. Toggle Billable on or off
  6. Select Save

Your time entry is available for invoicing (if billable) or internal reporting.

Adding Mileage​

Steps:

  1. Select + Quick Actions
  2. Select Add Mileage
  3. The mileage form opens
  4. Complete the mileage details:
    • Select date (defaults to today)
    • Enter distance (miles or kilometers based on settings)
    • Add start/end locations (optional)
    • Choose purpose (client visit, meeting, errand)
    • Add notes (optional)
  5. Select Save

The mileage entry calculates reimbursement automatically based on your configured rate.

Quick Actions on Mobile​

On mobile devices, the Quick Actions button appears as a floating + icon:

To use on mobile:

  1. Tap the + icon in the bottom-right corner
  2. The actions menu slides up from the bottom
  3. Tap the action you want
  4. The form opens full-screen
  5. Complete the form
  6. Tap Save

The floating button remains accessible even when scrolling, so you can create records without returning to the top of the page.

Keyboard Shortcuts​

Speed up Quick Actions with keyboard shortcuts:

Keyboard shortcuts work from anywhere in Fiskl, not just when the Quick Actions menu is open.

Quick Actions Best Practices​

Use Quick Actions for speed: When you know exactly what you want to create, Quick Actions are faster than navigating through menus.

Use full pages for complexity: For complex invoices with many line items or custom terms, navigate to the full Invoices page. You'll have more screen space and additional options.

Leverage keyboard shortcuts: If you frequently create invoices, memorize Ctrl+I. It's faster than reaching for your mouse.

Keep forms open: On desktop, Quick Action modals can stay open while you reference other information. Switch tabs without losing your progress.

Set defaults in Settings: Configure default values for tax rates, payment terms, and categories. Quick Actions inherit these settings, saving time on every entry.

Common Questions​

Why don't I see certain Quick Actions?​

Quick Actions reflect your user permissions. If you can't access a feature in the regular interface, you won't see it in Quick Actions either.

Can I customize which actions appear?​

Currently, Quick Actions are fixed based on your permissions. You cannot add custom actions or reorder them.

Do Quick Actions work offline?​

No. Quick Actions require an internet connection to save data to your Fiskl account.

Can I use Quick Actions in bulk?​

No. Quick Actions create single records at a time. For bulk operations like importing multiple invoices, use the Import feature in the relevant section.

Will my draft save if I close the modal?​

It depends on the action:

  • Invoices: Auto-save as drafts
  • Expenses: Not saved unless you select Save
  • Time/Mileage: Not saved unless you select Save

Always select Save before closing to ensure your data is retained.
